Registration for Convocation

All graduands must register to confirm their participation in the 15thΒ University of Cyberjaya Convocation Ceremony. Please read the following carefully before proceeding.

Verify Your Details

Ensure your full name, student ID, phone number, personal email, and programme in UC Campus are correct.

Check Graduation Eligibility

Confirm that you have completed all academic requirements.

Ensure you have no outstanding fees, fines, or disciplinary cases.

Complete Tracer Study & Payment

Fill in the Tracer Study Survey:

  • Keep a copy of:
    • Tracer study slip
    • Payment receipt
  • These documents must be uploaded in the convocation registration link.

    Register for Convocation

    Complete your registration between
    15 October 2025 – 15 November 2025.

    Late registrations will not be accepted.

    Study Completion Clearance form & Convocation form

    • Obtain clearance from all relevant departments.
    • Collect your academic regalia (gown, hood, mortarboard) on the assigned date.
    • Print and bring your Study Completion Clearance Form for verification.

    • Confirm your attendance via the Convo Attendance Form: Confirmation of Attendance.
    • If confirming attendance, attach:
      • Convocation payment slip
      • MoHE Tracer Study slip
      • Robes size
      • Completed Study Completion Clearance Form (A)
    24 November 2025 – 28 November 2025 Convo Week β€” Regalia Collection
    • Bring printed hard copies of:
      • Completion Study Clearance Form (A)
      • Graduation / Convocation Form (B)
    • Clearance at designated Counters, Level 1, Academic Block, UoC.
    • Collect academic regalia/robes upon clearance of forms (A & B).
    • Robes size based on info provided in the Convo Attendance Form.
    28 November 2025 Full Rehearsal
    • Full dress rehearsal, 3.00 pm @ Grand Hall Level 4.
    • Graduands Session 1: assemble at Level 1 (Holding Room) to be part of the rehearsal.
    • Other graduands (Sessions 2, 3 & 4): proceed directly to the UoC Grand Hall.

    Dress Code & Regalia

    All graduands must follow the university’s dress code for the ceremony.

    Convocation Fee

    Each graduand will be charged RM500.00. Pay before confirming attendance.

    Collection of Scroll & Transcript

    Graduates must complete all clearance forms before collecting documents.

    πŸŽ“ Hall Passes

    • Each graduand will receive 2 Hall Passes for guests.
    • Hall Passes will be distributed at the Graduand Counter upon completion of department clearance.
    • Additional passes cannot be purchased or obtained from others.
    • If a Hall Pass is lost or misplaced, no replacement will be issued.
    • Children are not allowed in the hall under any circumstances.

    πŸš— Parking Pass

    • Each graduating student will be issued 1 Parking Pass.
    • Parking Passes will be distributed at the Graduand Counter during clearance.
    • The pass must be displayed clearly on your vehicle dashboard.

    Important:

    • If you bring more than 1 vehicle, additional cars must be parked at Parking Area Taman Tasik Cyberjaya.
    • A shuttle service will be provided from Taman Tasik Cyberjaya to the convocation venue.

    ✨ Graduands are responsible for the safekeeping of their Hall and Parking Passes. Passes are non-transferable. Misuse may result in entry being denied.

    • Graduands who require OKU (disabled) parking must email the Graduand Team in advance.
    • OKU Parking Pass will be issued at the Graduand Counter.
    • Only vehicles displaying the official OKU Parking Pass will be allowed into designated OKU bays.
    • Food, drinks, and personal photography are not allowed inside the hall.

    πŸŽ“ Eligibility & Registration

    Who is eligible to join the convocation ceremony?
    All students who have successfully completed their programme requirements are eligible to attend the convocation. Students must ensure they have no outstanding fees and no pending disciplinary cases. An official invitation letter with detailed convocation instructions will be issued to all eligible students.
    How do I register for convocation?
    Enter your full name exactly as it appears in your UC Campus profile. The system will automatically check your convocation eligibility. If you are confirmed as an eligible graduand, the Convocation Registration Link will appear for you to proceed.
    What happens if I miss the registration deadline?
    You will not be allowed to participate in the ceremony, but you can collect your certificate at Exam Unit Level 1 Office after convocation.
    Do I need to attend convocation to get my certificate?
    No, attendance is not compulsory. If you cannot attend, you can collect your certificate at Exam Unit Level 1 Office after convocation.

    Is there a convocation fee?
    Yes, the convocation fee is RM 500.00 (includes academic attire rental, convocation pack, and photography session).

    What should I do if I have outstanding fees or payment issues?

    πŸ§₯ Academic Attire

    Is it compulsory to wear the official academic regalia?
    Yes, graduates must wear the official regalia, hood, and mortarboard provided by the University.
    When and where do I collect my regalia?
    Gown collection will be at the Regalia counter during the clearance process.
    What if I cannot collect the regalia myself?
    You may authorize a representative by completing the authorization form and ensuring they bring a copy of your ID along with their own ID.
    When must I return the regalia?
    Please refer to the return date provided. Late returns may result in forfeiture of your deposit.
    Can I buy the regalia instead of renting?
    Regalia cannot be purchased and is only available for rental.

    What time should I arrive on convocation day?
    Graduates must report at least 1 hour before the ceremony session begins.
    What should I bring on convocation day?
    Please remember to bring your regalia, mortarboard, as well as the hall and parking passes for your guests.
    What is the dress code?
    Formal attire is required. National dress is encouraged. Jeans, T-shirts, and slippers are not allowed.
    How long is the ceremony?
    Each session will last approximately 4–5 hours.
    Will there be a rehearsal?
    Yes, a compulsory rehearsal will be held on [Date]. Attendance is strongly encouraged.

    How many guests can I invite?
    Each graduate will receive 2 hall passes.
    Can I request extra guest passes?
    No additional passes will be issued or available for purchase by graduands.
    Are children allowed?
    Children below 12 years old are not permitted to enter the hall during the ceremony.
    How do my guests enter the hall?
    Guests must present the hall passes at the entrance.
    Is there a live stream of the event?
    Yes, the ceremony will be live streamed via University Website, YouTube, or Facebook.

    πŸ“Έ Photography & Media

    How can I order my graduation photos?
    A photo slip will be provided in the hall as you step down from the stage. Further instructions will be stated on the slip.
    Can my family take photos during the ceremony?
    Family, group, or individual photography services will be available at an additional cost by the appointed photography vendor. Their counters will be open during the clearance process and throughout the ceremony.

    When will I receive my degree/diploma certificate?
    Certificates and academic transcripts may be collected after the conferment ceremony at the Examination Unit, Student Hub Level 1.
    What if I do not attend the convocation ceremony?
    You can collect your certificate and transcripts at Exam Unit Level 1 Office after convocation.
    Can academic transcript be posted?
    Yes, you may request postage by emailing the Examination Department at exam@cyberjaya.edu.my and completing the postage form. Please note that postage fees will be borne by the student.
    I cannot collect my academic scroll and transcript in person. Can I authorize someone else to do so?
    Yes. You may authorize a representative, but they must bring and submit the following documents when collecting on your behalf:
    • Completed Authorization Form
    • Copy of your NRIC/Passport (Graduand)
    • Copy of the authorized representative’s NRIC/Passport
    • Completed Study Completion Clearance Form

    ⚠️ Note: If the representative fails to provide any of the required documents, they will not be allowed to collect the academic scroll and transcript.

    Is parking available?
    Yes, limited parking is available on campus. Shuttle will be provided from Taman Tasik Cyberjaya.
    Is there parking available for OKU (disabled) graduands or guests?
    Yes. OKU parking bays are located near the lift with direct access to the hall. Please email the Graduand Committee in advance, and we will provide an OKU Parking Pass. The pass can be collected at the Graduand Counter during the clearance process.
    Are there hotels nearby?
